During the recruitment process, William Buck NSW collects personal information concerning applicants including details of the applicant’s identity, address, contact details, education, qualifications, skills, professional experience, employment situation, eligibility to work in Australia, accessibility requirements relevant to the application process, police or criminal history, and, if relevant for the employment opportunity, any history of bankruptcy or court judgments (the Information).

Wiliam Buck NSW uses the Information for the primary purposes of assessing an applicant’s suitability for employment with William Buck NSW and communicating with the applicant during the recruitment process. In the event that an applicant is ultimately offered, and accepts, employment with William Buck NSW, the Information will form part of that applicant’s employment records.

William Buck NSW also uses the Information for the following secondary purposes:

  • complying with any applicable legal and regulatory obligations;
  • monitoring and reviewing William Buck NSW recruitment practices; and
  • in the event that an application is unsuccessful – unless the applicant asks us not to retain their information on file, considering the applicant’s suitability for alternative employment opportunities with William Buck NSW which may arise in the future.

The Information is collected:

  • via William Buck NSW dedicated recruitment website which is hosted and maintained by ELMO Talent, a third-party service provider engaged by William Buck NSW
  • if an applicant is, or is to be, offered employment with William Buck NSW, via Equifax Australasia Workforce Solutions Pty Ltd ABN 86 080 799 720 (trading as fit2work.com.au) (fit2work), a third-party service provider engaged by William Buck NSW verify personal information provided by an applicant, conduct police and other criminal record checks and (where requested by William Buck NSW), conduct or collate searches in relation to any history of bankruptcy or court judgments;
  • directly from an applicant during any communications during the recruitment process;
  • via an applicant’s referees nominated by the applicant for this purpose;
  • if the application is made through, or on referral by, a recruitment agency, from that agency; and
  • from employment marketplaces or employment oriented social networking services such as LinkedIn.

If the Information were not collected then William Buck NSW would not be able to assess the applicant’s suitability for employment with William Buck NSW.

Some of the Information:

  • provided by an applicant is of a kind which William Buck NSW will usually disclose to fit2work, to enable fit2work to conduct verification and other checks and report to William Buck NSW in relation to that Information;
  • regarding an applicant’s skills and professional experience, is of a kind which William Buck NSW will usually disclose to an applicant’s referees in order to verify that information (this could be in Australia or overseas); and
  • collected and stored in William Buck NSW HR system (ELMO) may be accessed by staff of ELMO based in Australia and overseas, and certain entities that provide services integrated with or connected to ELMO when required or authorised by William Buck NSW Bank for the purposes of support or troubleshooting.

William Buck NSW also collects, at the option of each applicant, diversity details including Sex at Birth, Date of Birth, Cultural Diversity Identification, and Citizenship Status (the Optional Diversity Information). The Optional Diversity Information is collected in the same manner as the Information, except that William Buck NSW does not collect the Optional Diversity Information from an applicant’s referees.

The Optional Diversity Information is used, on an aggregate and anonymised basis, to inform William Buck NSW programs and policies that support workplace equity and diversity and to publicly report on equity and diversity at William Buck NSW.

If the Optional Diversity Information were not collected, William Buck NSW would not be able to utilise the information for these purposes, but there would be no impact on William Buck NSW ability to assess the applicant’s suitability for employment with William Buck NSW.

The Optional Diversity Information is of a kind which William Buck NSW  does not usually disclose to persons or organisations outside William Buck NSW  (except, as noted above, as part of public reporting on an aggregate and anonymised basis).
